Utility bills in, tenant charges out

Upload the month's utility bill PDFs and your rent roll. It reads each bill, matches it to the unit and lease, splits shared bills, and gives you a charge CSV plus the bills that belong on a tenant ledger.

From a stack of paid bills to the charges to import

Once a month: drop in the utility bills the company paid, check each one beside its PDF, approve. Your rent roll says which unit and lease each bill belongs to and who pays; each property's rule says how a shared bill splits.

Reads PDF utility bills: provider, service address, account name, service period and amount, with a review screen before anything is used

A text PDF is read for you, and the amount and account number must appear in its own text. A scan or a photo is typed beside the preview.

Splits shared water, sewer, gas and trash bills by occupants, square feet or equal share, to the cent, prorated for move-ins and move-outs

A move-out on the 30th and a move-in on the 12th each pay for their own days, and a vacant unit's days stay with the owner unless you choose otherwise. Shares add up to the bill exactly.

Lists every bill still in your company's name where the lease says the tenant pays

The bill is matched to the unit by its service address; if the lease says the tenant pays and the account is not in their name, it is charged to them for their days and listed for you to move.

Downloads a tenant charge CSV for import (you set the column names once) and a statement PDF per charged unit

The charge codes and column headers match your import template, so the file goes straight into AppFolio, Buildium or whatever you use. Nothing is posted for you.

The bills that should never have been yours

"We end up paying a bill that we should be adding to the tenant ledger." Each month you get the list: every bill in the company's name for a unit whose lease says the tenant pays, with the tenant, the unit and the amount, so the account gets moved and the bill gets charged.

Bills that match no property wait on the review screen until you choose one, and a bill more than half again the same account's last one is flagged for a leak or an estimated read.

Split one bill on your own rent roll, free

The RUBS calculator splits a shared bill across your units by occupants, square feet or equal shares, prorated for move-ins and move-outs, to the cent. No sign-up, no email, your file is not kept.

One price for the whole book

Per-unit billing tools charge for every door, and full-service billers are priced by a sales call. This is the monthly split and the list of bills in your name, flat, by card, month to month.

Questions property managers ask

Does it connect to AppFolio or Buildium?

No. It gives you a CSV of charges with the column names you set once, and you import it yourself. It does not post anything to your ledger.

What do I need to upload?

Your rent roll as CSV or Excel (unit, tenant, lease dates, occupants, square feet, service address and who pays each utility) and the month's utility bills as PDFs. You map the rent roll columns once and it remembers them.

How accurate is the bill reading?

You review every bill beside its PDF before it is used, and edit anything it got wrong. The amount and account number must appear in the bill's text. Scanned bills it cannot read go to manual entry.

Does it know my state's billback rules?

No. It follows the lease and the split rule you set for each property, and it is not legal advice. Check local law and your leases before billing tenants.

Can I try it first?

Yes, with no sign-up. The sample runs a month of four bills on a fixed 12-unit building, and the free RUBS calculator splits one bill of yours across your own rent roll (CSV or Excel), which is read and not kept. Reading your bill PDFs, the charge CSV and the statements need a subscription.

How long is my data kept?

Bill PDFs and extracted data are kept for 13 months, then deleted.

What does $99 a month cover?

Up to 1,000 units and 600 bills a month: bill reading with the review screen, the RUBS splits, the list of bills in your name where the tenant pays, the charge CSV, a statement PDF per charged tenant, and a summary email each month.
