How it works

02

Expiry and issue dates read from GFSI certificates, COIs and kosher or organic certificates

Renewal dates for letters of guarantee, allergen statements and spec sheets from intervals you set

04

Red, amber and green list of every supplier, plus an audit pack: a ZIP of current documents and a register

What suppliers see

One page, your plant's name on it, and a row per document

Each supplier's link lists the documents you need from them and where each stands: missing, expiring, received or current. They upload a PDF or a photo per row. No account, no password, and no earlier files to see.

Emails name your plant in the subject and first line, with replies coming straight to you. A date it cannot read for certain waits in a short confirm queue, and the supplier still sees "Received".

Questions

Who does the chasing?

Supplier Nudge does. It emails the supplier's primary contact 60, 30, 14 and 7 days before a document's renewal date, then weekly for up to eight weeks, copying your second contact from the first reminder after expiry. It stops as soon as a current copy comes in, and your Monday digest tells you who to call once it has had eight weeks of reminders without an answer.

What about documents with no printed expiry date?

Letters of guarantee, allergen statements and spec sheets get a renewal date from an interval per document type: 12 months for letters of guarantee and allergen statements and 24 months for spec sheets by default. You can change each one.

Does it decide whether a supplier is approved?

No. It collects, dates and reports documents. Whether a supplier is approved stays with your food safety team. Any date it is unsure of goes to a short queue for you to confirm.

What do suppliers need to do?

Open the link in the email and upload each document on its row. No account and no password. You can also send them the link from your own inbox first, so they know it is coming. See the example page.

Can I bring my current spreadsheet?

Yes. Paste or upload your supplier list as CSV: name, primary email, second contact, tier and materials, plus a document type, issue date and expiry date for anything already on file. Those suppliers are only emailed when a document comes due.
