What Statement Match keeps, and for how long
Statement Match is operated by PhoneScreen AI LLC. It runs on Cloudflare: your files are stored in Cloudflare R2 and your data in a Cloudflare D1 database used only by Statement Match.
What we keep
- Your account: your email, company name, AP inbox and time zone.
- Your vendor list: vendor ID, name and statement email addresses.
- The AP exports you upload each month: open items and payments (vendor ID, document number, date, amount, invoices applied).
- The statements vendors and you upload, as files exactly as uploaded, the lines read from them, the exceptions found, and a log of every email sent for you.
Bank and remittance details
The original statement file is kept as uploaded, so anything the vendor printed on it, including remit-to and bank details, stays in that file until it is deleted at 13 months. It is shown only to you. What Statement Match extracts from a statement is different: before the text and line descriptions are stored, lines that look like bank details (routing and account numbers, IBAN and SWIFT codes, wire and ACH instructions, "Remit to" blocks) are removed. We never ask for ERP, bank or vendor-portal credentials, and nothing is ever written to your books.
How long
Statement files, the lines read from them, the exceptions found and AP export rows are kept for 13 months (396 days), long enough to look back over a full year, then deleted automatically. Cancel and your vendors' upload links stop working at once; to have everything deleted sooner, write to statement-match@coinudge.com.
Who sees it
Only the person who signs in to your account. Vendors see only their own upload page: your company name and the month requested, never earlier files. Statements in PDF form are read by an AI model on Cloudflare Workers AI to list their lines; the model's output is checked against the document and you review every line before it counts. When a spreadsheet's column headers do not say which column holds what, the same model sees the header row and the first three rows to suggest the columns, and you confirm them. We do not sell data. Payment details are handled by Stripe and never touch our servers. Support conversations may be answered with the help of an AI assistant; a person reviews anything it cannot resolve.
