For controllers and AP managers at distributors and manufacturers

Every vendor statement collected and checked against your AP

Statement Match emails each vendor for this month's statement, reminds the ones who don't send it, reads the statements, and lists invoices missing from AP, unapplied credits and unposted payments.

How it works

Your clerk stops chasing statements. You get the list that matters.

01
Emails each vendor whose statement hasn't arrived, with a no-login upload link
02
Reminds vendors who haven't sent one on day 7 and day 12, then stops
03
Reads PDF, Excel and CSV statements and matches each line to your AP export
04
One exception list per vendor: missing invoices, unapplied credits, unposted payments, amount mismatches
The month, in the customer's time zone

Requests on day 3. Two reminders. A digest on day 14 and at month end.

Each request names your company first, asks plainly for the month's statement of account, and sends replies to your own AP inbox. Vendors marked "statement only" are never emailed; their statements are matched when you upload them.

Day 3
Every key vendor without a statement for the month gets one request with its own upload link.
Day 7
A reminder to the vendors still missing.
Day 12
A last reminder. Then the chase stops: a vendor that ignored three emails needs a phone call.
Day 14
Your digest: statements received and requested, vendors who never sent one, exceptions and dollars by type.
Month end
The same digest, final for the month.

Matched line by line in code, against your open items and 90 days of payments

Missing in APAn invoice on the vendor's statement that is not in your open items or your payments.
Credit not appliedA credit memo, return or rebate the vendor issued that your AP does not show.
Payment not postedA payment you made more than 10 days before the statement date that the vendor has not applied.
Amount mismatchThe same invoice number at a different amount, with the difference.

Document numbers are compared without prefixes, leading zeros and punctuation, so INV-0048811 on a statement is 48811 in your ERP. Open items the statement leaves off are listed for information.

Your AP data
Read only
You upload exports from NetSuite, Sage, Acumatica, Epicor or QuickBooks Desktop. No ERP connection, no credentials, nothing written to your books.
You approve every line
Each statement sits beside the lines read from it until you approve it. Scanned PDFs go to manual entry rather than a guess.
Bank details kept out of the data
Routing and account numbers, IBAN and SWIFT codes and remit-to blocks are dropped from the text and lines Statement Match extracts. The original file is kept as uploaded, for you only.
13 months, then deleted
Statement files and AP export rows are deleted automatically after 13 months. What is kept

Questions

Which accounting systems does it work with?

Any system that exports open AP items and recent payments as CSV or Excel, such as NetSuite, Sage, Acumatica, Epicor or QuickBooks Desktop. You map the columns once and it remembers them. There is no direct connection to your ERP.

How do statements get in?

On day 3 of each month it emails every vendor whose statement hasn't arrived and asks them to upload it through a no-login link. You can also upload statements your vendors already sent you.

Does it change anything in my books?

No. It reads your export and the statements, and you review each extracted line before it appears in the exception list. The statement file is kept as uploaded for 13 months; bank and remittance details are stripped from the text and lines Statement Match extracts from it.

What about scanned statements?

A scanned PDF has no text to read, so it goes to manual entry: you type its lines beside the preview. Text PDFs, Excel and CSV statements are read automatically.

What if a vendor never sends one?

It stops after the day-12 reminder and lists the vendor in your day-14 and month-end digests, so you know whom to call.
