Renewal Check-in is operated by PhoneScreen AI LLC. It holds what an insurance agency gives it to run renewal check-ins: the agency's details and account managers, its commercial renewals (client business name, contact name and email, line of business, policy number, carrier, expiration date), last year's business exposures, the documents the agency uploads, the answers and files its clients submit, and a log of every email and page visit.

What it does not collect. It is for commercial lines only. The client form never asks for Social Security numbers, driver's license numbers, driver lists, dates of birth or details of injuries, and refuses a Social Security number typed into a free-text box.

Who sees it. Only the agency that uploaded it. A client sees only their own check-in, through the private link in their email, and after they answer the link shows only the date it was received. Documents are read by an AI model to suggest last year's figures; the agency confirms each figure before a client sees it. Payment details are handled by Stripe.

How long it is kept. Attachments and uploaded documents are deleted two years after the renewal's expiration date, or sooner when the agency deletes them. The outreach log is kept for the life of the agency's account and is exported to the agency on request when the account closes.

Email. Check-ins and reminders are sent by Renewal Check-in on the agency's behalf, with replies going to the agency's account manager. Every email has a link to stop all email from Renewal Check-in.
