Know what changed at every commercial account before it renews

Ninety days out, Renewal Check-in sends each commercial client last year's exposures and asks what changed, reminds them until they answer, and keeps a dated record of every request.

Ask every client once a year. Chase the ones who don't answer.

Commercial lines only. The check-in opens 90 days before each expiration, on its own.

01
Upload your commercial renewals as a CSV from any agency management system
HawkSoft, EZLynx, NowCerts, QQCatalyst, AMS360: any export that saves as CSV.
02
Add last year's dec page or ACORD application and it reads the exposures for you to confirm
Each figure sits next to the line it came from. Nothing reaches a client unconfirmed.
03
Clients answer on one page with no login, or click "No changes" if nothing changed
Replies go to the account manager. Never asks for SSNs, license numbers or driver lists.
04
Reminders at 75 and 60 days, changes flagged for your team, and a dated log you can export
At 45 days with no answer, the account manager gets a task: call them.
The dated record

Every ask, every reminder, every answer, with the time it happened.

Utica National's E&O guidance puts it plainly: "your documented outreach can become an element of your E&O defense." Renewal Check-in logs each email with its subject and recipient, each page visit and each answer with the client's typed name, in UTC and your agency's time. Export one renewal as a PDF or a whole season as a CSV.

It is a record, not E&O protection or coverage advice. Your team still owns the renewal.

Questions

Does it connect to my agency management system?

Not directly. Export your upcoming commercial renewals as a CSV with client name, contact email, line, expiration date and account manager email, and upload it. Any system that exports a spreadsheet works. It is for commercial lines only.

What does my client see?

One page with your agency's name, the account manager's name and phone, last year's exposures, a "No changes, renew as is" button and a few questions about what changed. It never asks for Social Security numbers, driver's license numbers, driver lists or claim details.

Does this protect us from an E&O claim?

No. It gives you a dated record of every request, reminder and answer, which you can export as a PDF or CSV. How you use that record is up to you and your E&O carrier.

Emails come from Renewal Check-in on your agency's behalf, with your agency's name in the subject and replies going to the account manager.
