How it works

The same four steps a part-time AR assistant does each week, from the report you already run.

Upload the aging

Export A/R Aging Detail from QuickBooks Online or Desktop as CSV or Excel. Map the columns once; the next upload maps itself.

Add billing emails once

The aging has no addresses, so paste a customer and email list. Anyone without one is listed to call, never emailed.

Review, then Send

See every email of the first batch before it goes. After that, reminders go on weekdays from 8:00 your time.

Read Monday's summary

Total past due and the change since last week, the top customers, promises coming due, and who needs a call.

What your customer gets

One plain email per customer, signed with your company name. Replies go straight to your inbox. The 60 and 90-day notices are firmer, never rude, and you can rewrite each one.

  • Reads the A/R Aging Detail export from QuickBooks (CSV or Excel) and buckets every invoice
  • One plain-text email per customer at 30, 60 and 90 days past due, listing every invoice that is due a reminder
  • A log for each invoice: reminders sent, paid, promised date, disputed, your notes
  • A past-due summary every Monday: total, change since last week, top customers, who needs a call
Example data Every company and amount here is made up.

One price, every customer chased

Questions

Does it connect to QuickBooks?

No. You export the A/R Aging Detail report as CSV or Excel and upload it. You map the columns once and it remembers them. Upload a fresh export whenever you like.

How does it know a customer paid?

From your next aging upload (an invoice that is gone is marked paid, a smaller balance is logged as a partial payment) or when you mark it paid. It does not watch your bank or read replies; replies go to your inbox.

Where do customer email addresses come from?

The aging report has none, so you paste a customer and email list once. Customers without an email are never sent anything and are listed so you can call them.

Will it email my customers without asking me?

The first batch waits for you to review it and press Send. After that, reminders go out on weekdays from 8:00 your time, at most one email a day to each customer. Every email has a link that stops our emails to that address.

What happens after 90 days?

The reminders stop and the customer appears in your Monday summary as needing a call. It does not phone anyone or add late fees.

How big an aging report can it take?

Up to 150 customers and 1,500 open invoices on one report. Each customer gets at most one email a day, listing every invoice that is due a reminder.

Can I see what it sends before I pay?

Yes. The free sample shows an aging report bucketed by days past due and the exact email each customer would get, and you can run your own export through it.

What happens to my data if I cancel?

Reminders and the Monday summary stop. Your uploads, customer emails and the invoice log are kept for 30 days after cancelling, then deleted, and you get an email with the date. Subscribe again before then and everything is as you left it.
