For small property managers

Every open work order chased, and the stuck ones on one page

It reads your open work-order export, emails each assigned vendor for status on a schedule through a no-login update page, and sends you a one-page list every Monday of the orders that are stuck.

How it works

Import the export you already have. The asking is done for you.

Export the open work orders from AppFolio, Buildium, Rent Manager or your spreadsheet: work-order number, property, issue and the vendor's email. Match the columns once. From then on every vendor is asked for status in your company's name, with replies going to your maintenance inbox.

Import your open work orders from a CSV or Excel export and see every one by vendor, with days open

Up to 300 open at once. Importing again updates each order by its number and never duplicates one; an order your export no longer lists is shown so you can close it in one click.

Emails each vendor at day 3, 7, 14 and 21, grouped into one email per vendor per day, then stops and flags the order for a call

Day 3 is counted from the date the order was opened. An older order gets its first email within the hour on a weekday from 8:00 to 18:00, otherwise at 8:00 the next weekday. Emails go on weekdays from 8:00 on your clock, plain text, signed with your name and phone number.

A no-login page where the vendor says done, scheduled, waiting on parts or can't take it, and can attach a photo or invoice

Scheduled pauses the asking until the day after the date. Waiting pauses it a week. Done waits for you to confirm, and can't take it puts the order in front of you to give to another vendor.

A Monday stuck list: orders with no vendor status, stalled orders, vendors who declined, and what was marked done

An order is stuck after 7 days with no vendor status (you can change the days). The same list is in your dashboard, grouped by vendor and printable on one page.
What your vendor sees, and what you get

One plain email a day per vendor, one tap to answer

The vendor gets every one of your open orders due that day in a single email, each with its own status page. No account, no app. You get the answers on your dashboard and the stuck ones every Monday.

Questions property managers ask

How do my work orders get in?

Upload a CSV or Excel export from your property software or spreadsheet, one row per open work order, with the vendor's email. You match the columns once and it remembers them. There is no direct connection to AppFolio, Buildium or Rent Manager, so re-import to refresh.

Who does it email, and what does it say?

Only the vendor address on each work order, and a backup address for that vendor if you add one (it gets the last email before the order is listed for a call). It writes in your company's name, asks for the status of the work order, links the update page, and uses your maintenance inbox as the Reply-To. It sends plain-text email only. It never contacts tenants and never phones or texts anyone.

How does it know a job is done?

The vendor can say so on the update page, or you can mark it. Either stops the chase, and you confirm completion in one click. It does not read email replies.

What happens when a vendor does not answer?

After the day-21 round it stops emailing and lists the order as stalled in your dashboard and Monday list, so you know whom to call.

Can I try it first?

Yes. The free run takes your own open work-order export and shows the stuck list it would make, with no account and no card. It emails no vendor.

How many work orders are included?

Up to 300 open work orders at once for $99 a month, with any number of vendors. Completed and closed orders do not count. If you cancel, your work orders and vendors' files are kept 30 days and then deleted.
