For city, town and township clerks

Draft minutes from the recording, with every motion, second and vote

Upload the audio from your council or board meeting. Minutes Draft works out who said what, finds the motions, seconds and votes, and gives you a Word file to correct and post.

From the meeting's audio to a draft you check and post

Your roster goes in once. After each meeting, upload the recording; within the hour, name the voices, check the motions it marked, and download the draft.

Upload an audio recording of up to 30 MB, or up to four parts of a longer meeting

MP3, M4A, WAV, OGG or WEBM, from the room's recorder or your meeting software. Video files are not accepted: export the audio first.

Splits the recording by speaker; you name each voice once from your member list

Each voice comes with its talk time and first words. Several voices can be one person; public comment and staff get their own labels.

Lists each motion with who moved it, who seconded it, how each member voted and whether it carried

Motions spoken in the usual phrasing ("I move", "second", "all in favor", a roll call). A roll-call answer goes to the name the clerk just called.

Marks anything it is unsure of for you to check first, and says "not heard" instead of guessing a vote

A motion with no second heard, two voices at once, or a missing roll-call answer goes to the top, with the reason and a link to its words.

Download the draft as a Word file or PDF, in action-minutes or summary style

Every mover, seconder, wording, vote and outcome can be changed first. Run the sample meeting to see it.

The draft, ready to correct and post

A Word file in the order minutes are written: header, call to order, who was present, each motion with its vote and outcome, and adjournment. It says DRAFT until you mark it reviewed.

  • Each motion as "Motion by, seconded by, to", with the Aye, Nay and Abstain names, then Carried or Failed.
  • A voice vote with no dissent heard says so, instead of inventing a tally.
  • Summary style adds who spoke on each item and for how long. It never paraphrases the discussion.
  • You stay the custodian of the official minutes and the recording.

  • Cancel any time; your minutes are kept 30 days in case you come back

Questions clerks ask

What kind of recording does it take?

Audio files (MP3, M4A, WAV, OGG or WEBM) up to 30 MB. A longer meeting can go in as up to four parts, in order. Video files are not accepted: export the audio first.

How does it know who moved, seconded and voted?

It separates the voices in the recording, you match each voice to a member on your list, and it reads the motions, seconds and votes spoken in the usual phrasing ("I move", "second", "all in favor", a roll call). A motion or vote it cannot place is marked for you to check, and a vote it did not hear is listed as not heard.

Does it write what people said?

No. The minutes list the motions, votes and outcomes, plus in summary style who spoke on each item and for how long. It does not paraphrase the discussion.

Can I edit the draft?

Yes. Every motion's mover, seconder, wording, votes and outcome can be changed, and rows can be added or deleted. Downloads are labeled draft until you mark the minutes reviewed.

How many meetings can I upload?

Up to 12 recordings a month.

What happens to my recordings?

Recordings are deleted 30 days after you mark a meeting reviewed (90 days after upload if you never do). Transcripts and minutes files are kept for 13 months. You remain the custodian of the official minutes and recording.

Can I try it first?

Yes. The free sample on the site runs a fictional township board meeting through the same steps, and you can download its draft minutes. It does not need a card or an account.
