For office managers at contractors with 10-20 crews

Every crew's field log checked and turned into invoice lines by Monday

Weekly Field Log reads the logs your crews turn in, flags every entry with a missing job, hours or material, and gives you invoice lines in a file QuickBooks imports. Try it on one of your own weeks first, free.

How it works

Monday morning's billing, without re-keying a single log

Set up once: your crews, your job list and your rate card, each as a spreadsheet or typed in. Then each week, bring in the logs however your crews keep them, and work down one list of what is missing.

Reads timesheet exports and logs in CSV, Excel, PDF or photo form, and shows each PDF or photo beside what it read for your approval

Exports and spreadsheets are read by column; you confirm the columns once. Crew leads can upload their own logs from a page with no login.

Flags missing job numbers, hours, materials, duplicate entries, impossible days and crews with a day unlogged

A job number one digit off your list comes with the one it probably is. Fix the entry, or accept it with a note, and it is never raised again.

Builds invoice lines by job from your rate card, with overtime and material markup, as a CSV for QuickBooks Online's invoice import

One invoice per job, numbered from your last QuickBooks invoice, to the job's billing name. A detail file by job and a flagged-entries file come with it.

On the $999 plan it emails crew leads their open questions each weekday morning and sends you the weekly package

On the $499 plan each crew's page in the app has the same message ready to copy into a text, and you get a weekly summary.
What the crew lead sees, and what QuickBooks gets

One plain email to the lead. One file for QuickBooks.

The lead gets only their crew's questions, by day and job, and answers on a page with no login. When nothing is left open, the week compiles into invoice lines by job.

Subject: Maple Ridge Electrical: 3 questions about Alvarez crew's log for the week ending Oct 11
Hi D. Alvarez,

Maple Ridge Electrical is putting together this week's invoices and needs 3 things from Alvarez crew's log:

- Wed Oct 7, Job 4410: no material quantity for the material "1/2in EMT conduit"
- Thu Oct 8: R. Chen is logged for 16.00 hours. What were the real hours on each?
- Thu Oct 8, Job 4410: R. Chen is logged twice for 8.00 h. Is one a mistake?

Answer here, no login needed, or upload a corrected log (PDF, photo, Excel or CSV): colin.gillingh.am/projects/weekly-field-log/c/k7Qm…

Nothing connects to QuickBooks: you import the file in QuickBooks Online yourself, and it never asks for your QuickBooks login.

Two plans, both by card, no sales call

Up to 20 crews on either plan. $499 a month to check every log and build the invoice lines yourself; $999 a month for it to chase the crew leads and send you the finished package too.

  • Your crew leads need no account and no app: a link in an email, or one you text them
  • Works from the exports and spreadsheets you already have; nothing to install and no QuickBooks connection
  • Try it first on the sample week, or one of your own weeks, with no sign-up

Questions office managers ask

Does it connect to QuickBooks?

No. It makes a CSV in the layout QuickBooks Online's invoice import takes, and you import it. Nothing in your books changes until you do, and it never asks for your QuickBooks login.

What can I try for free?

A sample week from a made-up electrical contractor, or one week of your own logs as a CSV or Excel file. You see the flagged entries and the week compiled by job. Nothing is stored and no email is asked. The sample shows invoice amounts and the QuickBooks file with its own rate card; for your own week they come after you sign up and enter your rates.

What kinds of logs does it read?

Timesheet and log exports in CSV or Excel are read by column. Text PDFs and phone photos are read by an AI model, and you review every one beside the original before it counts. Handwritten logs are read less reliably, so expect more corrections.

What does the $499 plan do differently from the $999 plan?

Both read and flag the logs and build the invoice lines, and both email you a weekly summary on the day you choose. The $499 plan shows you the flags and a message to send each crew lead yourself. The $999 plan emails each crew lead its open questions (the first on the next weekday hourly run after the logs come in, between 8 am and 6 pm your time, then each weekday morning, up to four times, then it tells you to call), compiles the week once nothing blocks it, and emails you the finished package with the QuickBooks file. You still upload the logs, or your crew leads do from their own page.

How many crews and what rates does it handle?

Up to 20 crews and 2,500 entries a week. You enter bill rates by labor class (per hour) and equipment (per day), an overtime multiplier past 40 hours a worker per week and one material markup percent, with per-job labor rates. Prevailing wage, progress billing and change orders are not handled.

How long are my files kept?

Uploaded logs and their entries are kept 13 months, then deleted. If you cancel, everything is kept 30 days and then deleted, and you are told the date. Bank, card and SSN-shaped numbers are removed from the text it extracts from a PDF or photo, though the original file you uploaded is kept as is.
