For trade compliance and import teams

Every supplier's USMCA certification collected, checked and renewed

Emails each Mexican and Canadian supplier for their certification, chases the silent ones, checks the nine data elements on each, and asks again before a blanket period ends.

How it works

Upload your supplier list once. The asking, the chasing and the checking are done for you.

Bring the supplier list you already keep in a spreadsheet: supplier, contact email, Mexico or Canada. Press Send requests, and every supplier without a valid certification on file is asked in one plain email signed with your company's name, with replies going to your own inbox.

One request per supplier, with a no-login upload link and the nine data elements listed

Within the hour on a weekday between 8:00 and 17:00 on your clock, otherwise at 8:00 the next weekday morning. The supplier's page lists only what you asked for and offers a blank template with the nine elements if it has no form of its own.

Reminders on day 7, 14 and 21, then it stops and lists the supplier for you to call

A supplier that is not the producer can say so on its page, which stops the reminders and shows you its note. Mark any supplier you do not claim USMCA on and it is never emailed.

Reads PDF, Excel and CSV certifications and shows which of the nine data elements are missing, for you to approve

Only values written in the file itself are filled in. Missing an element? One click emails the supplier exactly what is missing, with the same link.

Asks again when a blanket period is about to end, and lists expired certifications first

60 days before a blanket period ends by default; you choose the lead. Expired and stalled suppliers sit at the top of your table and in your Monday digest.

A ZIP per supplier of every approved certification, the elements checked and the request log

Every request, reminder, upload and approval is dated in the log, and approved certifications are kept five years. Download one supplier, or every supplier at once, whenever CBP asks.
What your supplier sees, and what you see

One plain email, one link, no login

The supplier uploads its certification on its own page. You see each of the nine elements beside the file and approve it, or ask for what is missing.

Subject: Maple Fabrication needs your USMCA certification of origin
Hello,

Maple Fabrication buys goods from Aceros del Bajío S.A. de C.V. and claims duty-free treatment for them under USMCA (T-MEC, CUSMA). To do so it needs a certification of origin from you.
Upload it here, no login needed: colin.gillingh.am/projects/usmca-cert-chase/s/k7Qm…

A USMCA certification has no set form. It needs these nine data elements:
1. Importer, exporter or producer certification: whether the importer, the exporter or the producer is certifying
2. Certifier: the certifier's name, title, address, phone and email
3. Exporter: the exporter's name, address, phone and email (if not the certifier)
4. Producer: the producer's name, address, phone and email, or "Various" or "Available upon request"
5. Importer: the importer's name, address, phone and email, if known
6. Description and HS classification: a description of the goods and their HS tariff classification to six digits
7. Origin criterion: the origin criterion (A, B, C or D)
8. Blanket period: the blanket period (from and to, up to 12 months) if it covers more than one shipment
9. Authorized signature and date: an authorized signature and date, with the certification statement

On that page you can upload a PDF, Word, Excel or CSV file up to 4 MB, download a blank template with the nine elements if you have no form of your own, or tell us you are not the producer or do not claim USMCA origin for these goods.

  • Your suppliers need no account and no portal: a link in an email
  • Works from the supplier list you already keep; no customs broker, ACE or ERP connection needed
  • A completeness check against the nine data elements; it does not decide whether goods qualify and is not legal advice

Questions trade compliance teams ask

Does it write our certification of origin or decide whether goods qualify?

No. It collects and checks certifications your suppliers give you. It checks that the nine data elements are there, not that the origin claim is correct, and it is not legal advice.

How do suppliers send their certification?

Each supplier gets an email naming your company with a link that needs no login. They upload a PDF, Word, Excel or CSV file up to 4 MB. You can also upload a file a supplier already emailed you.

What if a supplier never answers?

It reminds them on day 7, 14 and 21, then stops and lists them as stalled in your Monday digest so you know whom to call.

What about scanned or Word certifications?

A scanned PDF with no text, or a Word file, is not read automatically, so you tick the nine data elements and type the blanket period beside the file. Text PDFs, Excel and CSV files are read automatically, and you approve each one before it counts.

How long are the records kept?

Approved certifications are kept five years from the day you approve them, the period in 19 CFR 182.15. Download the ZIP for any supplier at any time. If you cancel, everything is kept 30 days and then deleted, so download the ZIPs first.

How many suppliers are included?

Up to 100 suppliers for $129 a month. Mark any supplier who is not claiming USMCA and it is never emailed.
