For commercial general contractors in closeout

Get every sub's closeout documents in, so retainage gets released

Closeout Chase sends each subcontractor one link listing the warranties, O&M manuals and as-builts it still owes, reminds them until every item is in or tells you which ones to call, and builds the turnover package.

How it works

It does the chasing. You see what is still owed.

Create the project, add its subs or paste your sub list, and press “Send requests”. Nothing goes to anyone before that.

01The link

One upload link per sub, with no login, listing only what that sub owes

Each item takes PDFs, photos, DWG, Word, Excel or ZIP files up to 95 MB, or a “not applicable” answer with a note for you to accept.

02The list

Closeout checklists for 15 common trades, editable for each project

Warranties (manufacturer and installer separately), O&M manuals, as-builts, test reports, training and attic stock. Edit them to match your spec's closeout section.

03The chase

Weekly reminders, then every 3 days after substantial completion, with you copied

Each reminder lists only what is still missing. A sub that lets 12 go by without uploading or answering is flagged in your Monday digest so you can call them; its reminders start again when it answers, and at substantial completion.

04The handover

Turnover ZIP by trade, with an index PDF and a warranty register CSV

Build it any time. Missing items are listed as missing, never hidden, and you review the package before it goes to the owner.

What your subs see

One page per sub, per project. Nothing to sign up for.

  • The sub uploads against each item, one file or several, and the row turns to “Received”. Earlier uploads are never shown or downloadable from the link.
  • Warranties are read for manufacturer, start, term and end where the document is a PDF or photo up to 10 MB. Larger files are filed as received and marked “not read”.
  • A file that looks like the wrong document, or names another project, goes to your review queue. You accept it, move it to the right item, or ask again with a note.
  • Every email is plain text, says who it is from in the subject, and has replies going to you.

Closeout Chase collects, files and indexes documents. It never judges whether a warranty, test report or lien waiver is adequate or valid; you review the package before it goes to the owner.

The turnover package

The binder, assembled by trade.

One ZIP with a folder per sub in trade order and a folder per item, plus an index PDF with a cover page and a section per trade, and a warranty register you can open in a spreadsheet.

  • The index lists every item with its status: received, waived with your note, not applicable with the sub's note, or missing.
  • The register gives each warranty's start date, term and end date, and says whether each was read from the document, defaulted from substantial completion, or entered by you.
  • Final lien waivers can be collected as an item on any project, filed as received, and never judged.

Questions

Do my subs need an account?

No. Each sub gets one link per project listing the items it still owes. It uploads a file against each item, and the item shows as received.

What is in the turnover package?

A ZIP of every received document in folders by trade, an index PDF listing each item and its file, and a warranty register CSV with each warranty's start date, term and end date as read from the document. You review it before it goes to the owner. Final lien waivers can be collected and filed as an item; Closeout Chase marks them received and never judges whether one is valid.

How many projects can I run?

Up to 5 projects in closeout at once for $99 a month. Archive a finished project to open another; its files and package stay downloadable.
